‍Your privacy matters to me. This notice explains what personal information I may collect, why I need it, how I protect it and your rights over your information.

‍Ash Soul Therapy is responsible for the personal information collected and used in connection with my services.

‍What information may I collect?

Depending on the service you use, I may collect:

  • your name and contact details;

  • booking, appointment and payment information;

  • information you provide when making an enquiry;

  • relevant personal history and information shared during our work;

  • health, wellbeing or other sensitive information where relevant to providing a service safely;

  • emergency contact details where appropriate;

  • your location during online therapeutic sessions where required for safety;

  • your birth name, date, time or place of birth where required for Astrology or Soul Plan services; and

  • correspondence between us.

I only collect information that is reasonably necessary for providing my services.

Some information shared during therapeutic or spiritual work may be considered special-category data under UK data-protection law, including information concerning health or religious or philosophical beliefs. This information is treated with additional care.

Why do I use your information?

I may use your information to:

  • respond to enquiries;

  • assess whether my services are appropriate for you;

  • arrange and manage appointments;

  • provide the service you have requested;

  • maintain appropriate professional records;

  • process payments;

  • communicate with you about our work;

  • meet safeguarding, insurance, professional or legal obligations; and

  • maintain the safe and ethical operation of my practice.

I will not use information you provide during therapeutic work to market services to you.

What is my lawful basis for using your information?

Under UK data-protection law, I must have a lawful reason for processing your personal information.

Depending on the circumstances, this may include:

Contract - where processing is necessary to provide a service you have requested.

Legal obligation - where I am required to retain, disclose or otherwise process information by law.

Legitimate interests - where information is reasonably necessary for the safe and effective operation of my practice and your rights do not override those interests.

Consent - where consent is the appropriate basis, for example for certain optional uses of your information.

Where special-category information is processed, I will also rely upon an appropriate condition permitted by UK data-protection law.

The ICO requires businesses to identify their lawful bases - and any applicable special-category condition - before processing the information, rather than simply putting every possible basis into a privacy notice.

Who will I share your information with?

I will never sell your personal information.

Information will only be shared where there is a legitimate and appropriate reason to do so.

This may include:

  • professional supervision, where therapeutic work may be discussed confidentially;

  • trusted service providers necessary to operate the practice, such as secure booking, payment, email, website or video-conferencing providers;

  • professional advisers or insurers where reasonably necessary;

  • appropriate authorities or professionals where safeguarding or serious risk requires disclosure; or

  • where disclosure is required by law.

Where therapeutic work is discussed in supervision, identifying information will be minimised wherever possible.

International services and technology

Some technology providers used to operate Ash Soul Therapy may process information outside the UK.

Where this happens, I will take reasonable steps to ensure appropriate data-protection safeguards are in place.

The ICO requires international transfers and the safeguards used for them to be disclosed where applicable.

How is your information protected?

I take reasonable measures to protect personal information against loss, misuse, unauthorised access or disclosure.

This includes appropriate password protection, access controls, secure electronic storage and careful handling of confidential client information.

Access to client information is limited to what is necessary for the operation of my practice.

How long will I keep your information?

I will not keep personal information for longer than necessary.

Client records will be retained for the period required by applicable professional, insurance and legal requirements, after which they will be securely deleted or destroyed.

Different categories of information may have different retention periods.

Before launch, we will insert your final client-record retention period here once it has been confirmed against Balens and your relevant professional-body requirements.

The ICO requires either the retention period or the criteria used to determine it to be stated in the privacy notice.

Recordings

Therapeutic sessions are not routinely recorded.

Certain spiritual services, such as Tarot, may be voice recorded only with your explicit agreement so that the recording can be provided to you.

Any recording will be handled securely and retained only for as long as necessary to provide it to you, unless another arrangement has been expressly agreed.

Marketing

I will only send marketing emails or newsletters where I have an appropriate lawful basis to do so.

Where you have subscribed or consented to receive them, you can unsubscribe at any time.

Choosing not to receive marketing will never affect your ability to use my services.

Website and cookies

The Ash Soul Therapy website may use cookies and similar technologies necessary for the website to function and, where enabled, to understand how visitors use the site.

Where cookies are not strictly necessary, appropriate consent will be obtained before they are placed on your device.

The ICO confirms that visitors must be told about cookies and that consent is required for cookies that aren't strictly necessary.

Your rights

Depending on the circumstances and the lawful basis being used, you may have rights to:

  • request a copy of personal information held about you;

  • ask for inaccurate information to be corrected;

  • request deletion of your information;

  • request restriction of its use;

  • object to certain processing;

  • request transfer of certain information; and

  • withdraw consent where processing is based on consent.

These rights do not apply identically in every situation, but I will respond to any request in accordance with applicable data-protection law.
